Edinburg Area Chamber of Commerce Minutes - November 17, 2011 DRAFT
In attendance:
Steve Wood, Cynthia Morris, Sue Horne, Bill Smith, Justin Wightman and Mary Embrey.
Meeting called to order by: Mr. Wood at 5:34 p.m.
Minutes: Mr. Wood approved the October 27, 2011 minutes.
Treasurer’s Report: Ms. Embrey reported that the Chamber currently has $1,404.08 in funds.
Mr. Wood stated that he would like to table everything on the agenda but the Christmas items. The Board agreed.
New membership: No report.
County Chamber: No report.
Website Design: No report.
Networking Socials: No report.
Yard Crawl: No report.
Board of Directors: No report
Christmas Parade: Mr. Smith asked if anyone had turned in an entry form for the Woodstock Christmas Parade on Friday, December 2nd. No one has as of yet, but Ms. Embrey will check the Woodstock Chamber website tomorrow to get an entry form. Mr. & Mrs. Smith will be in the Parade representing the Edinburg Chamber.
Mr. Wood reported that the Edinburg Chamber Christmas Parade is on Saturday, December 3rd at 5:00 p.m., with the line-up starting at 4:00 p.m. So far, Mr. Wood has 11 yes’s, 19 no’s and 7 maybe’s. He is going to email everyone on his list this evening who has not responded to his earlier email about participating in the Parade. Ms. Horne stated that Theater Shenandoah would like to be in the Parade and Ms. Morris stated that the Edinburg Chamber will also be in the Parade.
Mr. Wightman reported that the Cub Scouts will be setting up and taking down the luminaries again this year. He will be meeting with them on November 29th to go over what the Chamber will need them to do the evening of the Parade. Mr. Wightman will be out of town the weekend of the Parade, so someone will need to meet the Cub Scouts at Wightman Insurance’s basement before and after the Parade. Ms. Morris stated that she would meet the Cub Scouts there.
Victorian Christmas in Edinburg: Ms. Morris stated that she has plates, napkins & cups that can be used at the Mill for the Parlor Tours. Mr. Wood suggested that the Chamber purchase clear totes to store leftover items in. Ms. Morris reported that Shenandoah County Travel Association Director, Ms. Natalie Wills stated that she would be able to give a donation for the Parlor Tours. Ms. Morris asked Ms. Embrey to ask Ms. Wills if she could donate some cookies or some money to purchase cookies for the Tours. Ms. Horne stated that she will also donate some cookies.
Ms. Morris showed the Board what the Parlor Tour brochures will look like. The map will be given out separately from the brochures.
Ms. Morris stated that workers at the Mill are needed. Tickets will be sold starting at 4:00 p.m. on both nights. Ms. Morris also stated that change will be needed and that a lot of people bought tickets at the Mill last year. Mr. Smith asked if there would be a preview of the Tours like there was in previous years. Ms. Morris stated that no, there would not be due to the responses from the survey from last year’s participants. The participants stated that no one came to the Preview night. Mr. Wightman and Mr. Wood both said that they would help out at the Mill on both nights. Ms. Morris reported that she has a cash box that can be used at the Mill.
