Meeting called to order by: Steve Wood at 5:30 p.m.
Minutes: Mr. Wood approved the June minutes.
Treasurer’s Report: Ms. Heier reported that the Chamber currently has $1,983.20 in funds. Approval was needed to pay Hartford Insurance for the annual premium. Ms. Morris made motion to pay Hartford Insurance, Ms. Smith second the motion. Membership renewals were received at a total of $40.00, and two Yard Crawl reservation for $15.00 each. The Shentel bill for $40.71and $100.00 each to Michelle Heier and Mary Embrey for administrative services were paid. There was also a payment made to The Town of Edinburg in the amount of $50.00 for the pool party on July 31, 2010 during the summer concert. Ms. Horne asked committee's approval to use two gift cards for water and soda's to sell at the concert in the amounts of a $25.00 gift card to Wal Mart and a $10.00 gift card from the Piccadilly House. Members present agreed to Ms. Horne's request.
New membership: Ms. Heier stated that the Chamber did not have any new members.
County Chamber: Ms. Romeo was not present to give report.
Website Design: No report given.
Networking Socials: Discussion was tabled until August meeting.
Yard Crawl: Members present discussed signs for spaces for rent for the Yard Crawl. Ms. Morris will be doing advertising for the Yard Crawl. It was verified by members that the Edinburg Yard Crawl will be begin on Friday afternoon, August 13, 2010. Ms. Miller reported back to the committee that she was able to speak with the Irvin's in regards to using their lot on the North end of Town for the yard crawl, and they would not commit. It was mentioned by Ms. Heier to have forms at the concert for anyone who would like to rent space and take care of the paperwork that night. Members agreed that would be beneficial to the Chamber. There will also be signs promoting the Yard Crawl at the concert.
Board of Directors: No discussion.
Victorian Christmas in Edinburg: Ms. Morris reported that she was able to get the Heritage Center, the Caballeros & Bev Scanlan (with the help of Ms. Miller) to be on this year's parlor tours. Mr. Wood was asked to check with the Snarr's to see if they would be interested in being on the tours this year.
Summer Concerts: Ms. Horne stated that Mr. Jim Morris has agreed to be this year's MC for the concert. The committee is asking for help to set up for the concert, such as tents. Ms. Horne said the Italian Ice vendor will not be able to attend, however Kelly Day from the Creekside Campground will be coming later in the evening with smoothies. Ms. Horne asked Mr. Wood if he would be available to meet and greet the band upon their arrival, he said he would be able to do that. The Edinburg Police Department has been notified of the concert so there will be police assistance if needed. It was also discussed about contacting the Woodstock Rescue Squad to be on standby during the event. Ms. Smith and Ms. Romeo are scheduled to advertise the concert on July 29, 2010 at 8:10 a.m. on WSVG. The concert has also been advertised in the Bryce Mountain Courier, Northern Virginia Daily, Shenandoah Valley Herald and on the website. Ms. Morris will donate a jar to use for donations during the concert. Photographer, Jeff Clinedinst, has agreed to take pictures during the concert to use as future advertisement and put on the Chamber's website. Ms. Smith has made up fliers to have distributed around the Town to advertise for the concert. Ms. Smith will be looking into badges for Chamber members to wear during the concert. Ms. Morris will provide baggies for the baked items that will be donated to sell during the concert. Ms. Romeo was to check with Shentel to have the Shentel Pages Man appear at the event, however; members present had concerns that Shenel has not made any donations to the event. Mr. Wood suggested Ms. Horne and Ms. Smith get with Ms. Heier to get change for the event, or if they wish they could use their own money for change. Ms. Smith is trying to get in touch with the Girl Scout Troop to help with the children's activities. It is understood that all chamber members are on the cleanup crew.
Auditing Committee: No report.
Finance Committee: No report.
Advertising: Ms. Morris reported that she was in touch with Four Star Printing and she has obtained prices for the coupon booklets. Prices are based on 1000 coupons and would be $120.65. With 10 advertisements, the cost would be $12.10, for 15 advertisements it would be $8.05 and for 20 advertisements the cost would be $6.05. Four Star can also help with designing the coupons. Ms. Morris will work on obtaining advertisements to help keep cost down per business who wishes to participate in this. It was discussed that if non-members would like to take part in the coupons to offer them a membership at a reduced rate. Ms. Smith will check with a family member who may be able to do the coupons at a more reasonable rate than Four Star. Ms. Smith will report back to the committee with her findings. Ms. Smith will also check with Mr. Wightman to see if he would be interested in helping with the coupon preparation as well. It was also mentioned by a member that The Free Press is a member and maybe they would be willing to help the Chamber with the coupons.
